Induction
You and your child are welcome to visit the site and the staff at OLSK Active Care before your child's first day to familiarise yourselves with the setting and to help your child settle in. During your child's first session time will be set aside for an induction. The induction will include running through OLSK Active Care rules and routines (including meal times, collection, children's meetings), and introducing your child to the staff and other children. Another child will usually be allocated to act as your child's buddy for the first few sessions. You can request our Child Induction Policy for more details.
Arrivals and Departures
OLSK Active Care staff collect children from Our Lady and St Kenelm school and escort them to the Club. A register is taken when children arrive in our care, and you must sign your child out at the end of each day when you collect them. We expect that your child will normally be collected by the person(s) you have named on the registration form. If you need a different person to collect your child on a particular day, you must notify us in advance. We will not release your child into the care of a person unknown to us without your authorisation. You can request our Arrivals and Departures Policy for more details.
OLSK Active Care finishes at 6:00pm, if you are delayed for any reason please telephone OLSK Active Care to let us know. A late payment fee of £10.00 per 15 minutes will be charged if you collect your child after OLSK Active Care has closed. You may also be asked to make a contribution towards any extra staff wages and transport costs incurred. If your child remains uncollected after 6:30pm [i.e. 30 minutes after we close] and you have not warned us that you will be delayed, and we have been unable to reach you or any of your emergency contacts, we will follow our Uncollected Children Policy and contact the Social Care team.
Absence Policy
Booked sessions are to be paid for in advance. Parents must inform OLSK Active Care if a child is not attending for any reason, Parents must telephone the Manager on the Club Mobile number. Fees will not be refunded for non-attendance. Please inform us if your child is absent morning or afternoon. If your child does not arrive after school, the following procedure will be put in place, if you know they are absent or elsewhere, this will save a great deal of time, effort and concern. In the event of a child being listed on the register for After-school Club but not arriving and the club not having been informed, the manager of OLSK Active Care will need to:
- Visually check whether the child is attending another activity club before arriving in OLSK Active Care.
- Check if OLSK Active Care staff have been informed of the child's non-attendance or if there has been a message given to the host school or by the child's parents/guardians and then the child can be marked as not attending.
- Check the child's classroom and school reception and any other relevant areas.
- Call the child's Parents to inform them that the child has not arrived at OLSK Active Care and that we have not been informed.
Child protection

Special Needs
OLSK Active Care makes every effort to accommodate and welcome any child with special needs. We will work in liaison with parents or carers and relevant professionals to fully understand your child’s specific requirements. We will endeavour to accommodate all children of all abilities, whilst working within the limitations of OLSK Active Care. Each case will be considered individually and risk-assessed to ensure everyone's safety. Our staff training programme includes specific elements relating to children with special needs. GENERAL INFORMATION
Behaviour (Children)
RB Active Care will not tolerate from any person, whether a parent, carer or visitor: bullying; aggressive, confrontational or threatening behaviour; or behaviour intended to result in conflict. OLSK Active Care is a place of safety and security for the children who attend and the staff who work there, and we reserve the right to ban anyone exhibiting inappropriate behaviour from our premises. Illness
We are unable to care for children who are unwell. If your child becomes unwell whilst at OLSK Active Care we will contact you and ask you to make arrangements for them to be collected. Please inform the Manager of any infectious illness your child contracts. If your child has had sickness or diarrhoea please do not send him or her to OLSK Active Care for 48 hours after the illness has ceased. Accidents and First Aid
OLSK Active Care take every precaution to ensure the safety of your children at all times. RB Active Care is fully insured. Our staff are trained in Paediatric first aid and a first aid kit is kept on the premises. If your child has an accident whilst in our care, you will be informed when you collect your child. Medication
Please inform the Manager if your child is taking prescribed medicine. If your child needs to take medicine whilst at OLSK Active Care you will need to complete a Permission to administer medication form in advance. You can request our Administering Medication Policy for more details.
Complaints Procedure
If you have any queries, comments or need to discuss any matters concerning your child, please feel free to speak to your child’s key person, the Manager, or any other member of staff. Verbal complaints will be dealt with as swiftly as possible at the relevant level and passed on to the Director if necessary. All written complaints will be acknowledged within five working days of receipt and a full written response will be given within 28 days. A full copy of our Complaints Policy is available on request.
